The reason small builders keep a spreadsheet beside their project software is almost always the accounting sync: a one-way export means the bookkeeper re-keys, the books and the budget drift apart, and the owner trusts the books. CPro360 syncs with QuickBooks Online in both directions and with QuickBooks Desktop through Intuit's Web Connector. This page lists exactly which records move, in which direction, how often, and what is not covered.
Project management software and accounting software hold the same facts from different angles. The project manager sees a plumber's invoice as actual cost against the plumbing budget line on the Maple Street job. The bookkeeper sees it as a bill to pay next Friday, coded to an expense account. If those two records are entered separately, they disagree within a month, and the one in QuickBooks wins because that is what the taxes are filed from.
A sync fixes this only if it runs both ways. Pushing bills into QuickBooks is half the job; the project side also has to know the bill was paid, use the same chart of accounts and classes the bookkeeper uses, and notice when the bookkeeper fixes something in QuickBooks. That is what CPro360 does.
QuickBooks Online, as of October 2026.
| In CPro360 | Direction | In QuickBooks Online | Notes |
|---|---|---|---|
| Vendor invoice | CPro360 → QBO | Bill | Lines carry the invoice number, date, task and cost code item. Paid status is read back from QBO. |
| Payment to a vendor | CPro360 → QBO | Bill Payment | Applied to the matching Bill. |
| Client | CPro360 → QBO | Customer | Created or updated as clients change. |
| Vendor or subcontractor | CPro360 → QBO | Vendor | Created or updated as vendors change. |
| Cost code | CPro360 → QBO | Item | Archiving a cost code deactivates the Item rather than deleting it. |
| Chart of accounts | QBO → CPro360 | Accounts | Pulled so cost codes map to the bookkeeper's accounts. |
| Items and classes | QBO → CPro360 | Items, Classes | Classes require QuickBooks Plus or Advanced. |
| Paid status | QBO → CPro360 | Bill balance | Checked in batches; a bill paid in QBO shows paid in CPro360. |
| Edits made in QuickBooks | QBO → CPro360 | Webhook | Intuit notifies CPro360 of changed entities; the changed record is pulled. |
Customer invoices to the homeowner and progress billing are not part of the sync today; see the section below.
An admin connects CPro360 to your QuickBooks Online company through Intuit's OAuth sign-in. Tokens are stored encrypted and refreshed automatically; disconnecting revokes them at Intuit. There is nothing to install for Online.
When a project manager records a vendor invoice or a payment, or a client, vendor or cost code changes, the record is queued for sync, deduplicated against anything already waiting. A background job delivers the queue every 15 minutes by default. Failures are retried and visible, not silent.
Intuit's webhooks tell CPro360 when a record changes in QuickBooks, and the changed entity is pulled. The chart of accounts, items and classes are pulled so cost-code mapping stays current, and bill balances are checked so a bill the bookkeeper paid shows as paid on the project.
CPro360 ships residential cost code libraries for CSI and NAHB and accepts your own. Each cost code is mirrored as a QuickBooks Item, so a bill's lines land on the same code in both systems and a per-project P&L is available before the month closes.
For Desktop, download the Web Connector configuration file from CPro360 and add it to the QuickBooks Web Connector on the machine that runs QuickBooks, with a password you set in CPro360. On the Connector's schedule it collects the queued records, bills, payments, customers, vendors and items, as QBXML, and QuickBooks' own list and transaction IDs are written back so the records are linked. Failed items are requeued.
The sync covers the vendor side: bills, bill payments, vendors, customers, items and accounts. Invoices you issue to the homeowner, progress billing and receipts of client payments are managed in CPro360 and in QuickBooks separately today. There is no live integration with Xero or Sage; CPro360 imports and exports vendors, clients, cost codes and transactions as CSV, which covers those systems' exports, and the migration team maps them for you when you switch. Buildertrend's Xero, Sage and Gusto integrations are broader on this axis, and we say so on the comparison page.
CPro360 pushes vendor invoices as Bills, payments as Bill Payments, clients as Customers, vendors as Vendors and cost codes as Items into QuickBooks Online, and pulls the chart of accounts, items, classes and the paid status of each bill back. When something changes in QuickBooks, Intuit's webhook tells CPro360 and the changed record is pulled. Nothing is re-keyed in either direction.
Yes, through Intuit's QuickBooks Web Connector. You download a small configuration file from CPro360, add it to the Web Connector on the machine that runs QuickBooks Desktop, and the same queued records, bills, payments, customers, vendors and items, are delivered to Desktop in QBXML on the Connector's schedule, with QuickBooks' own transaction IDs written back to CPro360.
For QuickBooks Online, changes are queued the moment they happen in CPro360 and delivered by a background sync that runs every 15 minutes by default, with webhooks bringing QuickBooks-side changes back as they occur. For Desktop, delivery follows the Web Connector schedule you set.
Yes. Job costing in CPro360 is on your cost codes, CSI, NAHB or your own, and each cost code is mirrored as an Item in QuickBooks so bills land on the right line in both systems. Archiving a cost code deactivates its Item rather than deleting it, so history stays intact.
There is no live integration with Xero or Sage today. CPro360 imports and exports vendors, clients, cost codes and transactions as CSV, which covers the exports those systems produce, and the migration team maps them for you when you switch.
