Subcontractor portal software: your subs are most of the labour, so the portal has to be free and on their phone

On a residential job the general contractor's own employees are a minority of the people on site. If the software only covers them, it covers half the project, and the other half keeps calling and texting. CPro360 gives every subcontractor a free seat, a native app, their tasks and dates, their bids, quotations and invoices, and alerts by SMS and email, in English or Spanish. This page lists what a sub sees and does, what your office does for them, and what is not in the portal yet.

01

The problem it solves

Most construction platforms treat the subcontractor as an afterthought: a paid seat, a web-only login, or a link in an email that opens a read-only page. The result is predictable. Subs do not log in, so the schedule in the software drifts from the schedule in reality, invoices arrive as photos in a text thread, and the project manager is back on the phone within a month.

The fix is not more training. It is removing every reason a sub has not to use it: no cost, a phone app that works in a basement, only the information that concerns them, and a way to bid and invoice that is faster than what they do today.

What a subcontractor sees and does

In the browser portal and the native app.

01

Their projects and their tasks, nothing else

A dashboard of the projects they are on and the tasks assigned to them with dates, plus the estimated costs for those tasks and the documents you have shared with them. They do not see the project budget, other vendors' bids or other vendors' invoices.

Why it matters: the view is small enough to be useful on a phone and private enough that you can invite everyone.
02

Schedule changes and weather alerts, by text and email

When a task they are on moves, the sub is notified of the new dates. When the 14-day forecast flags a weather-sensitive task of theirs, they get the alert the same morning your project manager does. Each sub chooses email, SMS or both, and SMS respects carrier opt-outs.

Why it matters: they do not need to open anything to know Thursday is now Monday.
03

Bids, in the portal or by replying to the email

When you send a trade bid package, invited subs see it in the portal with the scope of work and plans and enter their bid there. Or they reply to the invitation email with their price, and the reply is captured and turned into a draft bid for you to review. Bids line up side by side against your estimate for leveling, and the winner is awarded straight to a subcontract.

Why it matters: the sub who will never log in to anything still ends up in your bid comparison.
04

Quotations and invoices from the field

A sub submits a price quotation against an assigned task, and submits and tracks invoices for their work, from the portal or the app, with a photo or PDF attached. On Growth and Pro your side reads the document with AI into line items, and the invoice is approved against the subcontract's schedule of values before it is paid.

Why it matters: the invoice arrives on the job it belongs to, not in a text thread.
05

Their subcontracts and messages

Subs see their own subcontracts and the project's communications thread, so questions and answers stay on the project. The app and portal are available in English and Mexican Spanish, chosen per user.

Why it matters: crews that work in Spanish get the same tool, not a translated PDF.
03

What your office does on their behalf

  • Invites and revokes access per vendor. A sub's portal access can be switched on or off without deleting the vendor record.
  • Keeps insurance and W-9 on the vendor record. Your office uploads each sub's certificate of insurance; on Growth and Pro AI reads the expiry date from the certificate, and a dashboard shows certificates expired or expiring within 30 days. A W-9 on file is tracked alongside.
  • Payments to a non-compliant sub are held. When a payment is recorded for a vendor whose insurance has lapsed or whose W-9 is missing, it is held for admin approval with the reason shown, and held payments stay out of the spend totals until an admin releases or rejects them.
  • Retainage is tracked per subcontract with partial release.

What it does not do yet

Plainly

Subs do not upload their own insurance documents yet.

Certificates of insurance and W-9s are uploaded by your office against the vendor record, with AI reading the expiry. Self-service compliance uploads from the sub portal, and sub-side acknowledgement of subcontracts, are on the roadmap. If either is a must-have for you today, raise it on the demo.

Frequently asked questions

Do subcontractors pay for a seat in CPro360?

No. Subcontractor portal seats are unlimited and free on every plan, Starter included. Invite ten subs or five hundred; the price stays the same. Only your internal users count toward the plan's user limit.

Do subs have to install an app?

No, but they can. The portal works in a browser, and there is a native iOS and Android app with the same view that caches everything offline and syncs when the phone finds signal. Schedule changes and weather alerts reach them by email and SMS whether or not they open either.

How do subs bid on work?

Two ways. In the portal, a sub sees the bid packages they have been invited to, with the scope of work and plans, and enters a bid. Or they simply reply to the invitation email with their pricing; the reply is captured and becomes a draft bid for you to review. Either way the bids line up side by side for leveling against your estimate.

How does the insurance and W-9 check work?

Your office keeps each subcontractor's certificate of insurance and W-9 on their vendor record; the expiry date is read from the uploaded certificate by AI and tracked, with a dashboard of certificates expiring in the next 30 days. When a payment is recorded for a sub whose insurance has lapsed or whose W-9 is missing, the payment is held for admin approval with the reason shown, and held payments stay out of the spend totals until released.

Can a sub see other subs' prices or the whole budget?

No. A sub sees the tasks assigned to them, the estimated costs for those tasks, the documents shared with them, the project's communications and their own quotations, invoices and subcontracts. They do not see the project budget, other vendors' bids or other vendors' invoices.
